In this chapter we are going to focus on adding an asset to an existing site, along with some basic information. The FrontLine Implementation training course covers the full functionality and capabilities of the system in detail.

Before starting to set up your system you should establish what you want to get out of it, otherwise you could put in too much or too little information in your requirements. Good quality and well structured data will greatly enhance the reporting and searching capabilities of the system.

The next series of screens have been put together to show you the very basics of adding an asset to a site record. So much more data can be stored in a structured format against each asset record (planned tasks, attached documents, linked supplier/ servicer, health & safety information etc).

Whether you are adding an asset to the existing Demo data or creating assets within the Live Data, the principle remains the same! For the purpose of this demonstration we will be adding an asset to the demo data on the Millbrook site.

A blank Asset Detail screen appears. Through the Set-up/System Options you are able to customise key field label names, along with the number of visible fields.

The system only requires two fields of information for Asset creation, highlighted in green and red (Site & Asset Number). Adding further data is at your discretion and will be driven by your searching and reporting requirements. (See Fig. 4).

In this basic record:

  • Give your Asset a suitable number BOIL - 04
  • Add the Description - a useful field to use, particularly if you are using a “non-descriptive” numbering system for your assets (description is a field that you can search and report on) BOILER 04
  • Add LocationThis gives you a geographical identifier as to where that item is on the site – (Location is a field that you can search and report on) EXTERNAL BOILER HOUSE

Click on the tick icon to save the record - highlighted in green (see Fig 5).

Against this Asset we can now start to plan and carry out work, recording events (history) on completed jobs. To see how to create and add planned maintenance see other chapters.
